Operated by Harlequin Chesterfield Sofa Ltd, SLW Chesterfields hand-builds and sells leather sofas, chairs, tables, home accessories, patchwork furniture, leathers, beanbags, footstools, and storage boxes. This page explains, in plain English, exactly what personal data we collect when you browse or buy from us, why we collect it, who we share it with, and the rights you hold over it under UK data protection law.

Who we are and what this policy covers

The data controller

SLW Chesterfields is a trading name of Harlequin Chesterfield Sofa Ltd, registered in England and Wales (Company No. 15921383). We are the "data controller" for the personal data described in this policy, meaning we decide why and how your data is used when you visit slwchesterfields.com or place an order with us.

Who this policy applies to

This policy applies to every visitor, customer, and enquirer across our full range — sofas, chairs, tables, home accessories, the Harlequin Patchwork Collection, leathers, beanbags, footstools, and storage boxes — whether you browse a product page, submit an enquiry, or place an order by website, phone, or email. It applies equally to consumers and to the hotels, bars, pubs, and restaurants we supply.

This policy is written specifically for how SLW Chesterfields actually operates: a UK-based, made-to-order leather furniture workshop shipping only within the United Kingdom, not adapted from a generic template. Where we describe a practice below, it reflects what we genuinely do with your data — nothing more and nothing less. Every right described here is provided in addition to, and does not reduce, your statutory rights under UK data protection law.

Personal data we collect

We only collect the data we genuinely need to take your enquiry, process your order, build and deliver your furniture, and support you afterwards.

Identity & contact details

Your name, email address, telephone number, billing address, and delivery address, provided when you order, enquire by email or phone, or use our email contact page.

Order & transaction details

Products ordered, chosen leather colour and specification for bespoke and Patchwork pieces, order value, order history, delivery instructions, and correspondence about your order.

Payment data

We never see or store your full card number. Payment card details are entered directly into our payment processor's secure system; we only retain a record that payment was received, and the last four digits of your card for order-matching purposes.

Enquiry & communication data

Any message content, questions, or attachments you send us through our email contact page, direct email, phone call, or social media message, including hotel, bar, pub, and restaurant trade enquiries.

Technical & usage data

Your IP address, browser type, device type, and pages viewed, collected automatically when you browse slwchesterfields.com, including which product categories and listings you view.

Photos & social content

If you tag us or send us photographs of our furniture in your home or venue, we collect the image and any accompanying caption or username, as described further in Section 08.

What we do not collect: we do not knowingly collect special category data (such as health, religious, or biometric information), and we do not request or store your full payment card number, CVV, or bank account details at any point.

How we use your data

We use your personal data only for the purposes set out below — never for anything you would not reasonably expect from a furniture maker you've contacted.

To process and fulfil your order

Taking payment, confirming your specification (including bespoke leather and Patchwork choices), building your piece at our workshop in Bury, arranging delivery or collection, and keeping you updated at each stage.

To respond to enquiries and provide customer service

Answering questions about products, leathers, sizing, trade orders, cancellations, returns, and warranty or faulty-goods matters.

To meet our legal and accounting obligations

Keeping records required for UK tax, accounting, consumer protection, and product liability law, and responding to lawful requests from regulators or law enforcement.

To improve our website and product range

Understanding, in aggregate, which products, leathers, and categories customers are interested in, so we can improve our website and the ranges we offer.

To send you marketing, where you've agreed to it

Sending information about new collections, leathers, or offers only where you have opted in, as explained in Section 14. You can withdraw this consent at any time.

Detecting and preventing fraud, abuse, or unauthorised transactions, and safeguarding the security of our website and systems.

Who we share your data with

We do not sell, rent, or trade your personal data to anyone, under any circumstances. We only share it with the specific categories of organisation below, and only to the extent needed to run our business and fulfil your order.

Payment processors

To securely take payment for your order, without our staff ever handling your full card details directly.

Delivery & courier partners

To deliver or collect furniture, including specialist two-person delivery teams for larger sofas and Patchwork pieces, using your name, address, and phone number.

Website hosting & email providers

Our website is hosted on the Yola platform, and enquiry and order emails are handled through our business email provider, both of which process data strictly on our instructions.

Accounting & professional advisors

Our accountant and, where necessary, our legal advisors, bound by confidentiality, to help us meet our legal and tax obligations.

Analytics & advertising platforms

Where you've consented to non-essential cookies, tools such as website analytics or social media advertising platforms may receive limited technical data — see Section 07 for full detail and how to control this.

Regulators & law enforcement

Only where we are legally required to disclose data, for example in response to a valid court order or statutory request.

Section 06

Payments and order data

We want checkout to feel as trustworthy as walking into our workshop in person, so here is exactly how payment and order information is handled.

Encrypted checkout

Card payments are processed through a PCI-DSS-compliant payment provider over an encrypted connection. Your card details are transmitted directly to that provider and are never stored on our own systems.

Order confirmation data

Once payment is confirmed, we retain your order reference, item specification, delivery address, and payment status so we can build, dispatch, and support your order, and so you can query it later.

No hidden data sale to advertisers

We do not share your order or payment history with advertisers or data brokers, and we do not use your purchase history to build a profile that is sold or licensed to third parties.

Cookies and tracking technologies

In line with the UK Privacy and Electronic Communications Regulations (PECR), here is every category of cookie our website may use, and how you can control each one.

Managing cookies: non-essential cookies are only set with your consent. You can accept, decline, or change your preference at any time through your browser settings, which let you block or delete cookies; instructions vary by browser and are available from your browser's help menu.

Social media and tagged photos

We love seeing our furniture in your home, hotel, bar, or restaurant. Here is exactly what happens if you tag SLW Chesterfields or send us a photo.

What we may use

If you tag us on Facebook or Instagram, or email us a photograph, we may use your username, the image, and any caption you provide on our own social media pages, product pages, and marketing.

Your ownership and choice

You keep full copyright ownership of any photo you share. By tagging or sending us a photo, you grant us permission to use it as described above; you can ask us to stop using a specific photo at any time by emailing slwchesterfields@icloud.com.

Please only tag or send us photos if you are 18 or over and have the right to share the image, including permission from anyone else who appears in it.

Section 09

How long we keep your data

We keep personal data only for as long as it's genuinely needed for the purpose it was collected, then delete or anonymise it.

Our website uses HTTPS encryption to protect data in transit between your browser and our servers.

Restricted access

Only staff who genuinely need it, to fulfil your order or respond to your enquiry, have access to your personal data.

Trusted, accountable providers

Our website host, email provider, and payment processor are all established, reputable providers bound by their own security and confidentiality obligations.

No system is completely immune to risk. While we take appropriate technical and organisational measures to protect your data, no method of transmission or storage is 100% secure. If we ever become aware of a data breach affecting your personal data, we will notify you and the Information Commissioner's Office where required by law.

Section 11

International data transfers

SLW Chesterfields ships exclusively within the United Kingdom, and the great majority of your data stays with UK-based systems and providers.

Some of the service providers we use for hosting, payment processing, or website analytics may store or process data on servers located outside the UK, including in the United States or European Economic Area. Where this happens, we only work with providers who offer an adequate level of protection, such as through the UK's international data transfer framework, an adequacy regulation, or standard contractual clauses approved for use under UK GDPR. You can ask us for details of the specific safeguard used for any given transfer by emailing slwchesterfields@icloud.com.

Section 12

Children's privacy

SLW Chesterfields sells furniture and home goods intended for adult purchasers, and our website is not directed at children. We do not knowingly collect personal data from anyone under the age of 18. If you believe a child has provided us with personal data, please contact us at slwchesterfields@icloud.com and we will delete it promptly.

Section 13

Your rights, and how to exercise them

Under UK GDPR and the Data Protection Act 2018, you have the following rights over your personal data. All of them are free to exercise in the vast majority of cases.

Right of access

Request a copy of the personal data we hold about you.

Right to rectification

Ask us to correct inaccurate or incomplete data, such as a delivery address or order detail.

Right to erasure

Ask us to delete your data where we no longer have a valid reason to keep it, sometimes called the "right to be forgotten".

Right to restrict processing

Ask us to pause using your data in certain circumstances, for example while we investigate an accuracy dispute.

Right to data portability

Ask us to provide certain data to you, or transfer it to another organisation, in a structured, commonly used format.

Right to object

Object to processing based on legitimate interest, and to direct marketing at any time, with no need to give a reason for marketing objections.

We will respond within one calendar month, as required by law. We may need to verify your identity before actioning certain requests, and in limited circumstances (for example, where we have a legal duty to retain financial records) we may not be able to fully action a deletion request, in which case we will explain why.

Marketing preferences

We will only send you marketing emails about new collections, leathers, or offers if you have actively opted in, for example by ticking a consent box at checkout or on our contact page.

Opting out at any time

Every marketing email includes an unsubscribe link. You can also opt out at any time by emailing slwchesterfields@icloud.com with "unsubscribe" in the subject line.

Order and service messages continue

Opting out of marketing does not affect essential order confirmations, delivery updates, or replies to enquiries you've raised with us, which we will continue to send as part of fulfilling your order.

Complaints to the Information Commissioner's Office

We hope you'll come to us first with any concern about how we handle your data, and we will always try to resolve it directly. However, you also have the right to lodge a complaint with the UK's independent regulator for data protection at any time: the Information Commissioner's Office (ICO), Wycliffe House, Water Lane, Wilmslow, Cheshire, SK9 5AF, or by calling 0303 123 1113.

We review this Privacy Policy periodically to keep it accurate and aligned with current UK data protection law. When we make a material change, we update the "Last updated" date at the bottom of this page.
